What is Surrogate Quoting?
Surrogate quoting allows a buyer to enter a supplier’s quote into the system on the supplier’s behalf. Suppliers receive an automated notification from the system when a buyer begins the process.
Step 1. Select the “Quoting” Step of the RFQ
Navigate to the RFQ.
Click on Quoting in the steps to complete area.
Step 2. Click on the “Surrogate” Quote Link
Click on the Surrogate link for the supplier you wish to submit a quote for.
Step 3. Update the Reason for Submitting a Surrogate Quote
- A) Complete the three Mandatory fields on this page to get started surrogate quoting:

- B) Click the Launch Surrogate Mode button to Launch the Supplier View
NOTE: Suppliers are notified automatic email notification when Surrogate Mode is launched by a buyer.
Step 4. You are now seeing the Supplier View – Launch
There are 2 ways to quote in the system:
Option 1: Export/Import Excel Quote Template
Allows you to use an Excel template to quote all RFQ items in one spreadsheet
Option 2: Quote directly in the software
Quote items one at a time directly in the software user interface (best for a small number of items)
Step 5A. Quote – Using an Export / Import Excel Template
- After exporting the Quote template, fill out all mandatory fields – which are denoted with a Gold color in the spreadsheet.
- If you wish to no-quote, select the no quote option for that respective part number.
Once you have completed all items, save the file. Click the Import button in the software, select the updated quote template and click Upload. Quotes uploaded are automatically saved and calculations are completed.
Step 5B. Quote – Directly in the Software Using the User Interface
Complete all mandatory fields. Note that the software will automatically save your changes. When all mandatory fields are complete the software will tell you the quote for the selected item is ready to submit.
Step 6. Submit the Quote
- Click the Return to Quoting button
